Cashbook

Your club's finances easily under control – accounts, transactions, fees, invoices and reports.

The cashbook is your club's cash management in the app. Here you record income and expenses, keep the accounts, charge membership fees, create invoices for rental fees and, at the end of the year, pull the reports for the cash audit.

It is deliberately kept simple: a perfectly ordinary income and expense statement, the kind you know from club life – no complicated double-entry bookkeeping. Every transaction is either an income or an expense on one of your accounts. In the end, you always know how much money is where.

Who can do what?

What you can do in the cashbook depends on your role in the club:

  • Treasurer – keeps the cashbook. Booking, creating accounts, charging fees and rental fees, importing bank statements, budget and year-end closing: the treasurer may do everything.
  • Auditor – audits the accounts. They may view everything and pull the reports (including the audit package), but may not change anything themselves.
  • Board – keeps an overview. They may read the cashbook and release the budget, but do not book themselves.

Two ways to the same numbers

You can use the cashbook on your phone and on your computer. For longer work – recording many transactions, importing bank statements, pulling reports – the computer in the club office is usually more convenient.

The financial year

Everything in the cashbook revolves around the financial year – usually the calendar year. Each account has an opening balance per financial year (the amount it starts the year with), and budgets as well as reports always relate to a specific year.

At the end of the year you close the financial year. The closing balance of each account is then automatically carried over as the opening balance into the new year, and the transactions of the old year are finalized. You can read how this works under Financial year & reports.

Cashbook not visible?

The cashbook is only available to you if this feature is included in your plan and you have the right role (treasurer, auditor or board). If the area is missing entirely, get in touch with your club's board.
