Tasks

Distribute tasks, use templates and recurring series, send reminders.

The Tasks module turns loose to-dos into a proper work list — per association, with templates, recurring series and push reminders. Current pricing: sinfoniaone.at/pricing.

Create a task

  1. Tasks → New.
  2. Enter title and description.
  3. Set the due date (date and, optionally, time).
  4. Assignment: individual members or entire roles — a task can target several people at once.
  5. Optional: pre-fill from a template.

The app dashboard automatically surfaces the next three open tasks — the day-to-day work of running the association is on screen with one glance.

Status

Every task follows a clear status:

  • Open — default after creation.
  • In progress — someone is actively working on it.
  • Done — finished.
  • Cancelled — no longer tracked.

The status history is recorded — every change with timestamp and person.

Templates

Recurring tasks (check the music stand, air the rehearsal room, invite new members) can be saved as a template:

  • Title, description, default assignment.
  • Default reminder pattern.

When creating a new task you pick the template and all fields are pre-filled. Maintenance happens in one place.

Series

Series are recurring tasks that SinfoniaOne creates automatically:

  • Frequency: daily, weekly, monthly.
  • Duration: start and end date (or open-ended).
  • Distribution: assignment to members or roles, identical to a single task.

A completed or cancelled task does not break the series — the next due instance is still created. Whoever opens up the rehearsal room weekly sees a fresh task every week.

Reminders

Per task or template you can define reminders — similar to appointments:

  • Before due date (e.g. 1 day, 1 hour ahead).
  • After creation (useful for urgent distributions).

Reminders are sent as push notifications to app devices, as long as the member has push enabled.

Trash

Deleted tasks, templates and series move into the trash and can be restored from there for 30 days. Only after that are they removed for good. See the admin guide.

Permissions

Task management requires the can_manage_tasks permission:

  • Create, edit and delete tasks, templates and series
  • Change status of other people's tasks
  • Manage reminders

Each member can move their own assigned task to In progress or Done themselves — without can_manage_tasks.
